If your mailbox is running low on storage, there are a number of practical steps you can take to reduce the amount of space that it uses. These steps could help your account to run more efficiently and will also provide easier management of your emails.

Simply choose one or more options from the list below:

  1. Delete old emails that are no longer needed
  2. Check for any unused/archived folders
  3. Remove any emails with large attachments
  4. Use an external mail client to download emails from your mailbox to your computer or mobile device (see below)

In your mailbox, emails are typically stored on the server. Downloading them takes them off the server and moves them onto the machine you used for downloading, i.e. a computer or mobile device, which saves space. To do this, first you'll need to configure your external email client to connect to your mailbox via POP3.

Note: When setting up your external mail client, ensure that it is configured to actually download your email onto your computer (POP3) and not leave a copy of it on the server (IMAP).
